NL: Notices, Letters and Paragraphs

TN 2 (05-11)

A. Background on the Enclosure Notice Block (ENB)

The Enclosure Notice Block (ENB) of the MACADE HISTORY input screen can contain up to 445 characters.

NOTE: If all 445 characters of the ENB are used, the 445th character must be the period. If the period is not the last character, a surface edit will appear.

If the technician realizes that he/she will exceed the 445 character limitation in the ENB, he/she must change the letter completion code to an “I” or “B

B. Description of the Enclosure Notice Block (ENB) Elements

1. Letter Completion Code

This is a single position alpha code as outlined in NL 00719.005.

2. Letter Identifier (Exhibits)

If applicable, will be a 3 position alpha-numeric code indicating a specific notice to be generated (i.e. A20.)

3. Asterisk

An asterisk (*) is shown in the ENB after the letter completion code of “C”, “I”, “B” or “H” followed by the UTI designator except in cases where the technician decides that no UTI's are needed in which case a period is shown (i.e. C*.)

An asterisk also separates each UTI so that the system can tell where one UTI ends and another begins.

4. Universal Text Identifier (UTI)

This element is a 6-position alpha-numeric code that tells the system what paragraphs the technician wants MADCAP to include in addition to the systems generated paragraphs.

5. Universal Text Identifier Fill-ins

UTI fill-ins can be either fixed or variable in length. Care must be taken to enter the fill-ins correctly. An incorrect fill-in value will cause the notice to “alert” (system bad).

An alerted notice must be completed manually.

6. Period

The period indicates the end of the data in the ENB. The period may follow a fill-in or a UTI if that UTI has no fill-ins. The period can also follow the asterisk that follows the letter completion code if no other UTI's are requested in the ENB.

If a period is not used as the last character in the ENB, an edit message will be produced.

7. Other Allowable Non-Alpha Numeric Characters

Below is an explanation of the other allowable non-alpha/numeric characters in the ENB and their use:

a. Comma (,)

The comma separates the UTI designator from the fill-ins and to separate one fill-in from another within the same UTI.

Note: Commas are not used to show money amounts in the thousands. (i.e. 5,000.00 is shown as 5000.00)

b. Hyphen (-)

The hyphen separates words and/or dates in a multiple word or multiple date fill-ins. (i.e. 12/1999–THROUGH–10/2000) or (JOHN-SMITH) The hyphen is converted to a space by the system thus providing the necessary separation.

c. Apostrophe (‘)

The apostrophe makes words possessive etc.

d. Slash (/)

The slash is used when completing date fill-ins (12/1999, 12/1999-THROUGH-02/2000).

e. Dollar Sign ($)

The dollar sign will not be allowed in the ENB but for most UTI’s a dollar sign is not required.
