DI 81020: DDS Procedures - Electronic Process

BASIC (01-08)

A. General

Electronic flags identify special case handling situations (e.g., Terminal Illness (TERI). Case flags are displayed in eView by selecting “Flags” on the secondary title bar (see Secondary Title Bar - DI 81005.035). Some Disability Determination Services (DDS) case processing systems may also display case flags to their users.

B. Adding a Flag

DDS users may add flags in eView or through their case processing system. Multiple flags may exist, but only one flag of each flag type (e.g., TERI) can exist for a CEF. Each flag consists of the flag type and optional text of up to 250 characters. Follow current policies and procedures to determine which flag is applicable and when the flag is added to the folder.

There are 4 special flags that do not display identifying text in the title:

  • Special - S (Suicide threat);

  • Special - H (Homicidal/potentially violent);

  • Special-F (Possible Fraud or Similar Fault); and

  • Special - A (AIDS Case).

NOTE: If the CEF becomes associated with a paper folder (e.g., Electronic Disability Collect System (EDCS) exclusion claim), attach the appropriate flag from the CEF to the front of the paper folder.

To add a flag in eView:

  • Click on the “Edit (Lock Case)” link to access “edit mode”;

  • Click on the “Flags (View Detail and Edit” on the secondary title bar;

  • Click “Add Flag”;

  • Select a flag from the list;

  • Give reason for flag choice in the remarks section;

  • Click on “OK” when finished; and

  • Click on the “Edit (Lock Case)” link to exit “edit mode”.

C. Viewing a Flag

DDS users can view CEF flags in eView on the Secondary Title Bar (see DI 81005.035B.). The “Flags” page displays the flag type, date added, the office that added the flag, and any information keyed when the flag was added. To view the flag details, select the description link. The Secondary Title Bar displays a maximum of two flags. If more than two flags exist on a case, the word “More” displays after the title of the second flag. To view the additional flags, select “More.”

Flags considered to be priority are displayed first, they are:

Special –S
Special-H
Special-F
Special-A
TERI Case
Military Casualty (MC)/Wounded Warrior (WW) Case
HIT
HALE Case

All other flags display in reverse alphabetical order.

D. Deleting a Flag

Flags are not automatically deleted in the CEF after case closure or case transfer. However, flags may be manually deleted from eView. Do not delete flags unless they are incorrect or no longer applicable. If a flag is no longer applicable, the office with jurisdiction of the CEF is responsible for deleting the flag.

To delete a flag from eView:

  • Click on the “Edit (Lock Case)” link to access “edit mode”;

  • Click on the “Flags (View Detail and Edit” on the secondary title bar;

  • Click on “Delete”;

  • Click on “Cancel “ to exit the screen; and

  • Click on the “Edit (Lock Case)” link to exit “edit mode”.
