B. Explanation of PCACS Fields

1. SSNX

The SSN suffix (SSNX) is a 5-position numeric that identifies the control record being displayed on the query line. It is generally shown after the SSN. The SSNX is also shown on the folder label. Note folders established by

PC 1 - 6 will probably be set up as “01” not “11”.

a. How to Read the SSNX

The following chart gives information about how to read the SSNX.

  • Digit 1 - The PC that established the action (this may not be the jurisdictional PC.)

  • Digits 2 and 3 - The number of the action/folder/diary in the order established. For example, if PCACS shows SSNXs 60101 and 60201, SSNX 60101 was established before 60201.

  • Digits 4 and 5 - The type of record involved. For the purposes of these instructions, the information shown here is for Folder Control Records (FCR).

b. Types of Folders on PCACS Query

The following chart shows the various types of folders you may see on a PCACS query. (Digits 4 & 5 of the SSNX.)

*NOTE: DO NOT request temporary (SSNX of 21), or ESRD (SSNX of 51), or Black Lung (SSNX of 61 or 62) folders through PCACS.

**Even though the PC creating SSNX is PC7, the folder may be in any of the folder storage sites or PCs.

2. Full Query Indicator

This field gives access to all available information about one or more FCRs.

  1. Enter an "X" at the beginning of the query line of each requested record. There is no limit to the number of records you can select.

  2. You cannot have an entry in the SSNX [1] field if this field is completed. The system will not accept an entry in both fields.

NOTE: When multiple query lines are selected, the full query responses are displayed on the screen (when ROUTE RESPONSE TO = "1") or sent to the printer (when ROUTE RESPONSE TO = "2") in their order of appearance on the SQRY screen.

3. TOEL1/TOEL2

This represents the type of work being processed.

4. LOCATION

This represents the current location of the folder.

5. LOCDT

This field shows the date the folder moved to its current location.

6. DISPLAY MORE RECORDS

This field will appear when there are other control records related to the queried FCR that are not displayed on the screen.

7. PCACS FACSIMILE: FQY1 Screen

The Folder Query (FQY1) screen is the first response screen presented when a full query of a folder control record (FCR) is requested. This screen displays established information about a particular control record. The FQY1 screen is followed by the FQY2 screen, which is a continuation of this screen.

D. Description of FQY1 Fields

1. Current Location

This field shows where the folder is presently located, including the processing center site; component; work area or technician classification; and operational station. The date indicates when the folder moved to the specific location point.

2. Previous Location

This field shows where the folder was located before moving to the present location including the processing site; component; work area or technician classification; and operational station. The date indicates when the folder initially moved to the PREVIOUS LOCATION.

3. To Location

This field shows the location to which the folder is being sent such as the processing center, FO, DDS, ODAR, etc. The office code (DOC) from DOORS is shown for locations other than the processing centers.

4. Folder Request DT

This date is established when a folder has been requested through PCACS.

5. Related Records

This shows the relationship between the queried control record and other records on the same SSN or other SSNs. These records are electronically linked to the FCR.

6. Display More Records (Y/N)

This field will appear when there are other control records related to the queried FCR that are not displayed on the screen. Since the field is prefilled with "Y", the Related Records Query (AFQ3) screen will automatically appear in the path after the FQY1 screen.

Enter "N" if you do not wish to see the additional control records.
