NL: Notices, Letters and Paragraphs

A. Introduction

Work in M/TEXT is kept in a waiting file (queue) containing the electronic documents that can be accessed by the user on a TAP terminal. The documents are completed using the Form SSA-573 or other typing instruction form and then moved from one queue to another for review or printing.

B. Kinds of Queues

1. I Queue (Work)

Each component has an I Queue for typing work. The I Queue contains electronic images of all incomplete notices, and certain ALERT and/or REVIEW notices generated by MCS, MADCAP, CAPS, SALT, AJS-1 AND AJS-3. It also contains unfinished documents that are dictated or manual (such as exhibit letters) as well as draft documents that are being held for final approval.

The typists will use the Form SSA-573 (Special Typing Instructions) along with the incomplete electronic document to complete the typing action or they may create a new electronic document (such as a form letter).

Paper copies of ALERT and REVIEW notices will still be laser printed in the PSC and sent to the component and will still be used to control processing by the technicians. The technicians should continue using the printed copies of the documents along with the SSA-573 or other typing instruction form to inform the typists of the appropriate typing action. The typist will use the electronic image to complete the notice. The original paper copy is used as part of the folder documentation along with the Form SSA-573.

If ALERT and REVIEW notices do not require a typing action, the electronic image will have to be deleted. (See NL 00702.155 for information concerning the deletion of documents.)

2. IR Queue (Review)

The IR Queue contains the electronic images of all documents completed by the typists for possible review. Documents can be moved from the I Queue upon completion by the typist to the IR Queue using PF23.

The documents can be reviewed with the folder/holder and/or moved to the IP or IF Queue for final laser printing. Documents can also be moved from IP Queue to IR Queue.

3. IP and IF Queues (Print)

Documents are moved to either the IP or IF Queue by the typist/reviewer using PF24. These queues are where documents are held waiting to be printed on the laser printers. Documents in these queues are printed at the end of the day unless M/TEXT detects a print error.

If a document is moved to a print queue by mistake it can be retrieved until the end of the same day it was placed in the queue.

The IP Queue is for documents that will be mailed to beneficiary after printing. The IF Queue is for documents that are returned to the component after printing.

4. IA Queue (Archive)

The IA Queue will contain any notice that is printed by M/TEXT on the laser printer for a set number of days following the day it is placed in an IP or IF queue. (See NL 00702.015 for information concerning the M/TEXT printing sequence.)

The IA Queue is for documents that were sent directly to PSC mailing rooms after printing and for documents that were returned to the module after printing.

5. PE Queue (Print Errors)

The PE Queue will contain notices which were recirculated from the print queue with ERROR or error messages within the notice.

Print errors will occur when required UTI fill-ins are missing or not in the correct format (e.g., 06/94 is entered rather than June 1994). Documents containing print errors can be moved to a print queue, however, they cannot be printed. Those documents containing print errors will be identified by an M/ TEXT editing program and automatically sent to the PE Queue.

The PE Queue must be checked daily to see if any documents have been passed to this queue. The error(s) must be cleared before moving a document to a print queue.

6. DL Queue (Delete/Alert)

The DL Queue contains a listing of the I, IR and PE queues for documents that have been housed in each separate location for a set number of days. The listing will inform the manager that after a certain number of days from the load date for a particular queue, the document will be deleted. Each PSC will determine its own queue alert and delete timeframes.

C. Description of Queue identification

Each PSC processing module is assigned one of each of the seven queues and is identified by a unique character designation.

Section (4 Characters) - Identifies the M/TEXT information storage level and the PSC.
